This Privacy Policy describes how IES Rentals and its internal QuickBooks connector use information when connecting company spreadsheets, rental records, equipment records, customer records, and related business documents with QuickBooks Online.

This connector is intended for internal business use by authorized IES Rentals personnel. It is not intended as a public consumer application.

Information We Access

When authorized, the connector may access QuickBooks Online information needed for normal accounting and rental operations, including customer names, company names, email addresses, phone numbers, billing addresses, product and service items, invoices, estimates, payments, and related accounting identifiers.

The connector may also use information entered into IES Rentals internal Google Sheets, including rental contract details, equipment names or IDs, rental charges, fuel charges, damage charges, deposits, invoice status, and notes needed to create or update accounting records.

How We Use Information

Information is used only to operate the internal rental and accounting workflow. This may include matching customers between IES Rentals records and QuickBooks, creating or updating QuickBooks customers, creating invoices when an authorized user explicitly instructs the system to invoice, reviewing sync status, and troubleshooting accounting sync errors.

Invoices are not intended to be created automatically based only on rental status. IES Rentals uses a separate invoice command or approval step before sending invoice data to QuickBooks.

How We Share Information

IES Rentals does not sell information accessed through the connector. Information may be shared only with authorized IES Rentals personnel, QuickBooks Online as required to perform accounting operations, Google Workspace services used to operate the internal spreadsheet workflow, and service providers or advisors who help IES Rentals operate, support, secure, or audit its business systems.

Data Storage and Security

The connector stores authorization tokens and configuration values in Google Apps Script properties or other restricted internal systems. Client secrets, refresh tokens, and access tokens should not be stored in visible spreadsheet cells. Access should be limited to authorized personnel.

IES Rentals uses reasonable administrative and technical safeguards for internal business data, including account access controls, Google account permissions, and limiting QuickBooks access to authorized users.

Data Retention

Business and accounting records may be retained as needed for operations, tax, audit, legal, and accounting purposes. OAuth tokens and connector settings may be removed when the QuickBooks connection is disconnected or no longer needed.

User Choices and Disconnecting

Authorized IES Rentals personnel may disconnect the QuickBooks connection by revoking access in QuickBooks Online or by removing stored OAuth tokens from the connector configuration. Disconnecting may stop future sync activity but does not automatically delete records already created in QuickBooks or Google Workspace.
